POSITION OVERVIEW
The Fleet and DOT Manager is responsible for overseeing all aspects of the Company’s vehicle fleet operations and Department of Transportation (DOT) compliance programs. This position ensures the safe, efficient, and compliant operation of Company vehicles and drivers while managing fleet maintenance, licensing, regulatory requirements, vendor relationships, and transportation-related risk management. The Fleet and DOT Manager works closely with operations, field staff, safety personnel, and leadership to support business operations and maintain compliance with all applicable federal, state, and local transportation regulations.
LOCATION
Preferred candidates will be located in or near the Overland Park, KS or Oshkosh, WI regions. This is a hybrid position, primarily working remotely with occasional in-office attendance and travel to company locations as business needs require.
ESSENTIAL DUTIES & RESPONSIBILITIES
Fleet Management
- Oversee the daily operations and administration of the Company vehicle fleet.
- Coordinate vehicle acquisition, replacement, registration, licensing, and disposal activities.
- Develop and maintain preventative maintenance schedules for all fleet vehicles and equipment.
- Monitor vehicle utilization, fuel usage, maintenance costs, and overall fleet performance.
- Manage relationships with fleet vendors, repair facilities, fuel providers, and leasing companies.
- Review and approve repair estimates, maintenance invoices, and fleet-related expenditures.
- Maintain accurate fleet records, including maintenance histories, registrations, titles, and insurance documentation.
- Coordinate roadside assistance and emergency vehicle response as needed.
- Assist with budgeting and forecasting related to fleet operations and transportation expenses.
DOT Compliance & Safety
- Administer and maintain the Company’s DOT compliance program in accordance with federal, state, and local regulations.
- Ensure compliance with FMCSA regulations, driver qualification requirements, Hours of Service (HOS), vehicle inspections, and recordkeeping requirements.
- Maintain driver qualification files, medical certifications, MVR reviews, and required compliance documentation.
- Oversee DOT drug and alcohol testing programs, including pre-employment, random, post-accident, and reasonable suspicion testing requirements.
- Coordinate DOT audits, inspections, and regulatory reporting activities.
- Monitor safety performance and identify opportunities for risk reduction and operational improvement.
- Investigate vehicle accidents, safety incidents, and compliance violations; recommend corrective actions as appropriate.
- Develop and deliver driver safety training and transportation compliance education.
- Stay informed on changes to transportation regulations and communicate updates to leadership and affected employees.
Leadership & Administration
- Collaborate with operations and department managers regarding vehicle needs, driver assignments, and transportation issues.
- Develop and implement fleet policies, procedures, and best practices.
- Analyze fleet and compliance data to identify trends and improve operational efficiency.
- Prepare reports related to fleet costs, compliance metrics, accidents, maintenance, and safety performance.
- Support the Company’s commitment to workplace safety and regulatory compliance.
- Perform additional duties and special projects as assigned.
QUALIFICATIONS
- Bachelor’s degree in business, transportation, logistics, safety management, or related field preferred.
- Minimum of 3–5 years of experience in fleet management, DOT compliance, transportation operations, or related field.
- Working knowledge of FMCSA regulations, DOT compliance requirements, and transportation safety standards.
- Experience managing vehicle maintenance programs and fleet vendors preferred.
- Strong organizational, problem-solving, and analytical skills
- Ability to manage multiple priorities and maintain detailed records with accuracy.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office and fleet management/compliance software systems.
- Valid driver’s license with acceptable driving record required.
PHYSICAL REQUIREMENT
- Ability to sit, stand, walk, bend, and use standard office equipment.
- Ability to occasionally inspect vehicles and equipment in various environmental conditions.
- Ability to lift and carry up to 25 pounds occasionally.
WORK ENVIRONMENT
- Combination of office and field environments.
- Occasional travel may be required between Company locations or vendor sites.
- Position may require availability outside normal business hours for urgent fleet or compliance matters.
